Here at Stonewater, we are now looking for an Administrator – someone to provide support to allow the successful delivery of the retrofit programme.



You’ll support meetings by coordinating diaries, producing agendas, minutes and tracking actions, create and amend work orders where necessary and manage workload and tasks within agreed timescales to meet targets and service level agreements. You’ll provide general support to the Environment and Sustainability team as required and deal with contractor queries relating to orders, payments and any Stonewater actions.



Managing enquiries from customers with the support of Retrofit Project Managers, you’ll triage more complex queries to enable a timely resolution and accurately process invoices and payments, ensuring they are coded to the correct cost account and liaise with Finance and other departments as necessary so payments are made within agreed contractual timescales.



You’ll carry out reconciliation of all retrofit transactions ensuring they are categorised correctly and maintain live tracker of accruals for the finance team. Ensuring required documentation is received, scanned, input and filed correctly in line with Audit requirements and Company policy to maintain accurate records, you’ll input and maintain information on relevant centralised software systems to provide accurate stock data to allow the business to identify and manage stock condition and risk.



The ideal candidate will:




  • Have experience in administration, invoice processing and financial record keeping.

  • Be able to work remotely, working on your own and collaboratively as part of a multidisciplinary team to ensure successful project outcomes.

  • Have proven ability to confidently make decisions, achieve targets and prioritise, plan and manage own workload effectively.

  • Have excellent communication, collaboration and stakeholder engagement skills with the ability to communicate effectively with a wide range of internal and external stakeholders.

  • Have excellent IT skills including good working knowledge of Microsoft Office applications and Housing Management systems and Finance Systems.

  • Have strong organisational skills with ability to maintain accurate records.

  • Have excellent written and oral communication, interpersonal, and problem-solving skills.

  • Ideally have previous experience working for a housing association or local authority.

  • Hold or willing to work towards Level 3: Retrofit Advisor Course.



Appointment to this role will be subject to a satisfactory Disclosure and Barring Service Check, satisfactory references and possession of a valid Right to Work document.
